Chatbot Documents vs. Q&A Pairs: Which Knowledge Source Should You Use?
Use documents for connected information that needs context. Use Q&A pairs for focused recurring questions. The right choice is the format your team can keep clear, current, and easy to test.
What each format contributes
A document can explain a topic across several sections: service scope, requirements, exceptions, and the next step. A Q&A pair organizes information around one question and its approved answer. Both supply knowledge for generated responses; neither should be treated as a promise that the chatbot will repeat every sentence exactly.
This comparison concerns the knowledge formats available in Miravo AI. It does not assume that every chatbot product processes files or prioritizes sources in the same way. In either format, clear facts and realistic answer tests matter more than the length of the source.
Compare the work involved
| Consideration | Documents | Q&A pairs |
|---|---|---|
| Best starting point | A connected policy, guide, or specification. | A focused question customers ask repeatedly. |
| Useful detail | Headings, conditions, examples, and related procedures. | A self-contained answer with relevant conditions and a next step. |
| Preparation | Create readable text and check file processing. | Write and save a clear question and answer. |
| Updates | Replace the affected file and remove the obsolete version. | Edit the existing answer and check related sources. |
| Main maintenance risk | Old versions or important details buried in unclear text. | Duplicate entries or answers that omit necessary context. |
| Verification | Test facts across sections and policy exceptions. | Test varied wording, follow-ups, and missing information. |
Choose a document when the details belong together
A service guide may explain what is included, what a customer must prepare, and when an assessment is required. Keeping those details together gives your team one coherent source to maintain. Use specific headings and name the service in each relevant explanation.
For example, a custom-printing guide could cover accepted artwork formats, proof approval, and when production begins. Breaking every paragraph into a separate Q&A pair can create unnecessary upkeep if the business already maintains a clear, approved guide.
In Miravo AI, Knowledge Base accepts PDF, TXT, DOCX, and CSV files up to 50 MB each, subject to plan limits. Check processing before testing. Follow the upload guide for the full workflow.
Choose a Q&A pair for a specific recurring question
If visitors repeatedly ask how to request a quote, a concise Q&A entry can state the approved process and the details to include. Make it self-contained: identify the service, explain any important condition, and provide a verified next step.
Open Agent Settings → Data Sources → Questions & Answers to maintain these entries. Search for the existing question before adding a new one. When the process changes, edit the existing answer rather than creating a second entry that contradicts it.
Keep factual content in the answer. Put general response preferences, such as asking one clarifying question or using short steps, in the assistant’s behavior instructions. Repeating tone instructions inside every answer makes later changes harder to manage.
Use both without creating competing policies
A document and a Q&A pair can cover related topics, but avoid copying an entire policy into both unless your team can reliably update both. A short answer may summarize a process and point to the authoritative policy page, while a document supplies its full approved detail.
Do not assume a Q&A entry will override a contradictory document. Correct the contradiction at its source. Also check the website profile and company context if an old detail continues to appear.
Suppose a supplier introduces a different return process for custom orders. Update the source explaining custom orders and any short answer that previously described a universal return process. Test both standard and custom orders before considering the update complete.
Test the choice with a real customer question
- Select one recurring question and write down the expected facts.
- Choose the format that naturally holds those facts without unnecessary duplication.
- Save the entry or wait for the document to finish processing.
- Start a fresh test and ask the question in several natural ways.
- Check a follow-up, an exception, and a question the source cannot answer.
If the response misses a condition, improve the source’s clarity and check for conflicts before adding more copies. The useful measure is whether visitors receive accurate, understandable information.
Choose documents for connected detail and Q&A pairs for focused answers. Keep an owner for both, using a regular knowledge maintenance routine to manage changes.
